Team Inbox needs at least one connected WhatsApp number and the correct workspace access. Admins control the integration and permissions; each member then sees only the conversations and tools available to them.

Connect the first WhatsApp number

If an admin or manager opens Team Inbox before a number is connected, Eazybe displays a connection screen with two choices:

Open Team Inbox

Click Team Inbox in the main navigation. When no number is connected, the setup screen displays Install Chrome extension and Connect WhatsApp Business API.

Choose the connection method

Click Install Chrome extension for an app-synced number, or click Connect WhatsApp Business API for an official API number.

Complete the connection flow

Follow the connection instructions for the method you selected. A WABA connection requires a Meta Business account.

Return to Team Inbox

Return to the browser tab after the connection completes. Team Inbox refreshes the connection state and opens the workspace.

The connection screen states that the connection is end-to-end encrypted.

Open Integrations

As an admin, open Integrations from the workspace navigation.

Find Team Inbox

Locate the Team Inbox integration card.

Change the integration state

Use the Team Inbox switch to turn the feature on or off. When it is on, open its settings to configure mapping, sync, and AI properties.

Other roles can see the integration state but cannot change the switch.

Configure Team Inbox

Map WhatsApp Business API numbers to members

Use User Mapping to decide which employees can work with each connected WABA number.

Open User Mapping

In the Team Inbox integration settings, open User Mapping.

Find the WABA row

Find the required number under WABA Name. Each connected WABA appears in its own row.

Open the employee selector

Click the control in the row’s Employees column.

Select employees

Use Search employees… when needed, then select each member who should work with the WABA’s conversations.

Save the mapping

Click Save after changing one or more rows. Team Inbox confirms that the mappings were saved.

Configure synchronization and data

Use Sync & Data to control which conversations are backed up to Team Inbox.

Open Sync & Data

In Team Inbox Integration, click Sync & Data.

Set Sync Conversations

Use the Sync Conversations switch to turn automatic WhatsApp conversation backup on or off.

Choose whether employees can access sync settings

As an admin, use Let employees access this section to control whether Employee-role users can open these settings.

Choose labels to synchronize

Expand Labels, then select which labeled conversations Team Inbox should synchronize.

The employee-access choice appears to admins. Label choices apply to conversation synchronization; they do not delete existing WhatsApp conversations.

Configure AI properties

Use AI Property Configuration to prepare the customer information Eazybe AI maintains beside conversations. Eligible workspaces can also manage property definitions from an open conversation. See Use AI Features.

Team Inbox permissions

Admins configure member access in Members & Access. The relevant permissions are:
Enabling Team Inbox does not automatically give a member access to every WhatsApp number. Check both See all channels and the number mapping.

How roles affect the interface

Permissions can be customized, but the interface also applies role-based limits. Managers can be restricted to their team and approved channels. In AI-agent lists, stage counts may be hidden even when the manager can open the relevant stage.

Why two members can see different conversations

A conversation appears only when all applicable access checks pass:
  1. Team Inbox is enabled for the workspace.
  2. The member has Team Inbox access.
  3. The source WhatsApp number is available to that member.
  4. A team-scoped manager is allowed to see the relevant member or channel.
  5. The current list, search, and filters include the conversation.
The same checks also control which channels and assignees appear in filter menus.

Security and safe collaboration

  • Access changes affect what a member can see; they do not delete the underlying conversation.
  • Assignment gives an owner responsibility for the chat but does not move or erase its history.
  • Team Inbox displays sender information on outgoing messages so teammates can understand who replied.
  • A disconnected WABA becomes read-only in Team Inbox until it is reconnected.
After changing mapping or permissions, ask the member to reopen Team Inbox. If the number is still missing, verify the number’s connection and synchronization settings.
