Open customer details from the conversation header to keep context and next actions beside the message history. The panel can switch between the Eazybe User profile and HubSpot.

Use the User profile

The User profile contains three tabs: The panel header shows the customer’s name and phone number. Close the panel with x when you need more room for the conversation.

Review and update Profile information

On an eligible plan, Profile shows AI insights and AI properties maintained for the selected customer. Properties can be read-only or editable. Editable types include text, number, single-select dropdown, and multi-select dropdown.

Open Profile

Open customer details and select Profile.

Review the information

Read AI-generated insights and current property values.

Edit supported properties

Enter text or numbers, or select one or more dropdown values.

Save changes

Select Save changes to store the edits.

Admins can manage supported AI-property definitions and dropdown options. See Use AI Features. Free and Starter plans show an upgrade message instead of AI profile intelligence.

Add a follow-up

The Follow-up tab keeps customer-specific notes and optional reminders.

Write the note

Enter the follow-up context in Followup Notes.

Choose whether to be reminded

Turn on Remind me on and select a date and time if the follow-up needs a reminder.

Save

Create the follow-up. The list shows saved entries with their author and scheduled date when available.

Use an existing entry’s actions to edit or delete it. During editing, change the note and save it or select Cancel Edit. Reminder controls are used when creating a follow-up, not while editing one.

Create and manage tasks

Use Task for work that must be tracked to completion.

Create a task

Enter the task

Type the work to complete in Add a new task….

Choose the due date, priority, and status

Choose a due date, set Low, Medium, or High priority, and select Not started, In progress, or Done.

Assign team members

Choose one or more team members. Use Select all or Clear all when needed.

Create the task

Press Enter or click the add button. The task appears in the active list unless its status is Done.

Update a task

Change its priority or status directly from the task card. Use the task menu to delete it. Tasks with Done status move into the collapsible Completed section, whose heading shows the completed count. Other tasks remain in the active list.

Switch to HubSpot

Select the HubSpot icon in the customer-details header. The available state depends on the integration and the current chat:

Search HubSpot

Search by the customer’s name or email address.

Review the result

Confirm that the person and contact details match the WhatsApp customer.

Link the contact

Select Link on the correct result.

After linking, the panel shows the contact’s synchronization state and a link to open the full record in HubSpot.

Create a HubSpot contact from the chat

If no result matches, create a contact from the current conversation.

Open the contact form

Click Create new HubSpot contact. Team Inbox carries the current chat number into the new record.

Enter the contact details

Complete the supported First name, Last name, Email, Company, and Job title fields.

Create and link the contact

Click Create contact. Team Inbox links the new record and opens its HubSpot tools.

If the linked record belongs to someone else, select Not Right Contact? to unlink it, then search for or create the correct contact. This action requires permission to edit customer/CRM information.

Use HubSpot About

About displays the HubSpot contact properties selected for Team Inbox. Supported editable fields use the correct input type, such as text, number, date, single select, or multi-select.

Open About

Click About to view the HubSpot properties selected for Team Inbox.

Edit an allowed value

Change a supported property with its displayed text, number, date, single-select, or multi-select control.

Choose the displayed properties

Open the property editor, select the properties to display, and reorder them for Team Inbox.

Save the changes

Save the edited property values or display configuration before leaving the contact.

Without User Properties permission, the values remain visible but the editor is locked.

Use HubSpot Notes

Notes lets permitted users maintain rich-text notes connected to the HubSpot contact.

Open Notes

Click Notes to view existing HubSpot notes for the linked contact.

Create or edit a note

Click the create action for a new note, or use an existing note’s edit action. Enter the note in the rich-text editor.

Save the note

Save the note to the linked HubSpot contact. Use a note’s delete action when the record is no longer needed.

Use HubSpot Tasks

Create or edit a HubSpot task with:
  • Title and description
  • Due date and time
  • Low, Medium, or High priority
  • Not started, In progress, or Completed status
  • An optional HubSpot owner

Open Tasks

Click Tasks to view the linked contact’s existing HubSpot tasks.

Open the task form

Click the create action for a new task, or use an existing task’s edit action.

Enter the task details

Enter the title and description, choose the due date and time, priority, status, and optional HubSpot owner.

Save the task

Click Create task or Update task. Use the delete action on an existing task when needed.

Use HubSpot Calls

Create a HubSpot call record with:
  • Inbound or Outbound direction
  • Date and time
  • Call notes
  • An optional HubSpot owner

Open Calls

Click Calls to view existing call records for the linked contact.

Enter the call details

In Create call, choose Inbound or Outbound, select the date and time, enter call notes, and optionally choose a HubSpot owner.

Create the call record

Click Create call. The new record appears with the other calls for the contact.

Understand edit permissions

The User Properties permission controls editing of supported Eazybe customer data and HubSpot mini-CRM data. A user without permission can still view supported CRM properties but sees a message explaining that editing is restricted by Members & Access.
Use Follow-up for a customer note with an optional reminder, Team Inbox Task for internal tracked work, and HubSpot Notes/Tasks/Calls when that information must live on the connected CRM record.
